Executive Administrator

At Bossa Nova we create service robots for the global retail industry. Our robots’ mission is to make large scale stores run efficiently by automating the collection and analysis of on-shelf inventory data using state of the art computer vision and artificial intelligence. We drive autonomously through aisles, navigating safely among customers and store associates. If we were a self- driving car we’d be operating at level 5 autonomy.

Position: Executive Administrator 

Location:  Mountain View, CA

Overview: 
Reporting to the Chief Executive Officer you will provide administrative support to both the CEO and COO of the business. Support functions include calendaring, travel, presentation preparation, meeting and event coordination, and interfacing with external partners and customers. Significant  experience of dealing with executive support is required, as well as discretion, integrity, and an ability to work across the entire company to achieve goals. You will work independently as required, and need to have a proven ability to deliver results in complex, high priority situations.

You will also serve as office manager for Bossa Nova’s Mountain View office. This requires coordination with the office management company and servicing vendors, ensuring that the office provides a safe and comfortable work environment and that required capabilities such as IT are maintained within the building. You will be heavily involved in future space planning and delivery.


Success in this role means helping to enable Bossa Nova’s executives to be more productive, enabling a high quality, fun workplace, and helping Bossa Nova in its growth and hiring.   

Responsibilities:

  • Normal EA function for CEO and COO (calendaring, travel, meetings & events support)
  • Manage senior leadership meetings, events, etc
  • Expense management
  • Partner interactions and communications
  • Ability to work with a diverse team, with differing styles
  • Drive and track delivery of key actions, follow up as appropriate
  • Office Manager for Bossa Nova silicon valley location(s)
  • Engage with broader Bossa Nova teams; partner with HR, finance and other central groups as appropriate on corporate activities

 

Basic Qualifications:

  • 10+ years of experience in administrative support with at least 5 years of executive support experience
  • Proficiency with standard tools (Microsoft Office Suite, Google Office tools) required
  • Excellent communications skills
  • High levels of discretion and integrity
  • Self driven, skilled in task prioritization.
  • Quick learner, passionate about the role, ability to work in fast growing environments
  • Experience in both large corporate and startup environments is a plus
  • Experience with HR/Finance functions desired.
